How to use ResumeForge: a practical first-pass workflow

ResumeForge helps you turn raw experience notes and a target role into an ATS-oriented draft with structured sections and achievement-focused bullets. This how-to walks a single pass from inputs to review to export, including what to verify before you apply. It is decision-support for clearer structure and wording — not a promise of interviews, offers, or any employer’s ATS pass rate.

What you need before you start

Gather a short list of roles with employer names, date ranges, and two to four concrete achievements per role. Add tools, languages, or certifications you actually hold. Paste or type a target job title plus five to ten must-have phrases from the posting. Optional but useful: a plain DOCX master resume you already trust for dates.

Skip decorative PDFs as your only source of truth. If your current file is a two-column design, keep it for humans later; feed ResumeForge the facts in text form first. Parsing advice from independent guides such as Jobscan’s ATS formatting mistakes still applies after you leave the product: single-column layouts and standard headings travel better into employer systems.

Step 1 — Enter experience and target role

On the home tool, paste experience in chronological or reverse-chronological order. Prefer complete sentences or rough bullets over a keyword dump. Name the target role honestly (for example “Senior Product Manager”) rather than a title you never held. If the posting uses a synonym you also used at work, include both forms once in Skills or Summary after the draft appears — not as invented titles.

Minimum viable input

- Three roles with dates (Month Year pattern). - At least one measurable or observable outcome per recent role. - A target title and posting excerpt or skill list.

Empty or joke inputs should fail loudly. Do not treat a sparse demo as a finished application packet.

Step 2 — Generate the draft (demo vs live)

If you request demo mode, expect a labelled preview that is not live AI. If the platform key is missing, the API should return 503 with AI_NOT_CONFIGURED instead of a silent fake success. Live runs that succeed should mark source as Model-assisted. Rule-based checklist notes stay labelled Rule-based. That matrix exists so you never confuse a sample with production output.

Generation aims for Work Experience, Education, Skills, and Summary style sections with achievement verbs. It will not invent employers, degrees, or metrics you did not supply. If a bullet appears with a precise percentage you cannot source, delete or rewrite it before export.

Step 3 — Run the human review checklist

- Read every bullet aloud; cut anything you cannot defend in sixty seconds. - Confirm dates against your records; keep one date format. - Confirm skills against projects, tickets, or reviews. - Paste the draft into a plain text editor; reading order should match the visual layout. - Remove guarantee language and absolute claims about ATS pass rates.

For how parsers extract text, segment sections, and map fields before keywords matter, see ATSChecker’s parsing walkthrough. Fix extraction problems before you chase synonym density.

Check | Pass signal | Fail signal Claims | You can name the source of each metric | Numbers appeared only in the draft Titles | Match titles you held or that honestly describe level | Invented seniority to match the posting Parse paste | Top-to-bottom reading order | Interleaved columns or missing contact lines Honesty | Decision-support wording only | “Guaranteed interview” or “100% ATS pass”

Step 4 — Align keywords without stuffing

Mirror posting phrases only where true. Place them inside Skills and achievement bullets, not in a footer glossary. Job descriptions written for employers emphasize clear must-haves; SHRM’s guidance on writing effective job descriptions is a useful reminder that postings are structured lists of requirements, not poetry — see SHRM how to develop a job description. Your resume should answer those requirements with evidence, not a mirrored wall of nouns.

If a posting requires a certification you lack, do not add it. Skip the role or note progress toward the cert in a cover note if the employer allows.

Step 5 — Export and place into the employer template

Copy the reviewed draft into your single-column DOCX or text-based PDF. Keep contact details in the body, not only in a header. Follow the posting’s file-type rule when one is stated. If a portal auto-fills fields incorrectly, edit the portal fields manually — do not assume the upload alone is enough.

Store the submitted file beside a PDF of the posting so you remember which variant you used when a recruiter calls later.

What this is NOT

- Not career coaching, interview training, or a recruiting agency. - Not legal, immigration, or discrimination advice. - Not an employer screening product and not a compliance certificate for Workday, Greenhouse, or Lever. - Not a guarantee of interviews, offers, rankings, or ATS pass rates. - Not permission to invent jobs, metrics, or skills.

Employer use of algorithmic hiring tools raises separate duties under disability and civil-rights rules. ADA.gov summarizes disability discrimination risks in hiring technology; see ADA.gov guidance on AI in hiring. ResumeForge does not audit those employer systems.

Worked example: one PM pass in under an hour

Input: three product roles, dates, three shipped features with qualitative outcomes, target “Product Manager, B2B SaaS,” and posting phrases for roadmap, discovery, and stakeholder alignment. Output draft: Summary, Experience bullets with verbs, Skills list. Review removes one invented “28% retention lift,” replaces it with “Shipped onboarding checklist used by CS for two enterprise logos.” Paste test passes in Notepad. Export to DOCX, upload, fix one auto-mapped date in the portal, submit.

The candidate may still wait weeks with no reply. The workflow only removed structural and honesty failures under the applicant’s control.

Fair-use, BYOK, and support boundaries

Pro plans raise model-assisted run volume; fair-use limits return 429 before the model call. BYOK settings, when offered, keep your key under your control — still never paste secrets into public feedback. Support chat answers product how-to and billing routes; it will not rewrite your employment history as a service or promise outcomes. Escalations for refunds go through the published support email.

Maintenance rhythm for active searches

Refresh the master facts when you change tools or ship major work. Batch applications by role family so Summary and top bullets change more than the entire timeline. Re-run the paste test after any visual polish in Canva or multi-column Word. Keep a change log of AI-edited bullets so interview prep stays honest.

International applicants should watch date order and paper size, but the same extraction principles apply: selectable text, standard headings, contact in the body. When a portal rejects DOCX, export a clean text PDF and repeat the paste test rather than photographing a printed page.

Common failure modes and fixes

Failure mode one: feeding a screenshot PDF. Fix by retyping or copying selectable text before generation. Failure mode two: accepting every metric the model proposes. Fix by deleting numbers without a dashboard, ticket, or report behind them. Failure mode three: reintroducing a two-column creative layout after a clean draft. Fix by locking a single-column template for applications and keeping creative PDFs only for humans who explicitly ask for them.

Failure mode four: treating consumer “ATS scores” as employer truth. Scores differ by vendor; use them as rough hints while you still run the paste test and field-mapping checks. Failure mode five: asking support chat to invent a career story. Support should refuse and point you back to your real chronology. Failure mode six: pasting confidential customer names from NDAs into public drafts. Replace with industry descriptors unless disclosure is allowed.

When something still feels off after two passes, stop generating and write three bullets by hand for your most recent role. Hand-written anchors often reveal which facts the model was stretching. Then regenerate only the Summary and Skills, leaving those anchors untouched. Keep those hand-written anchors in your interview prep notes so you can explain them without rereading the whole file.

How long should a first ResumeForge pass take?

Plan thirty to sixty minutes including human review. Skipping review usually increases interview risk.

Can I submit the raw model output without edits?

You should not. Verify every claim. Unsupported metrics are your liability.

Does Pro guarantee better ATS rankings?

No. Pro changes access volume and features, not employer ranking logic.

What if demo mode is all I see?

Demo is labelled and not live AI. Missing keys fail closed with 503; live success is Model-assisted.

Decision-support only. Not a job offer or hiring guarantee.
